Job Summary
The Customer Service Specialist is responsible for managing customer relationships, processing orders, and supporting project coordination to ensure the timely and accurate delivery of services. This role requires proactive communication with customers, sales teams, and vendors to maintain smooth operational flow.
Job Duties & Responsibilities
- Interact daily with customers, Account Executives, and Plant Managers via phone, email, and internal communications regarding estimates, live orders, tracking information, inventory levels, and packaging supplies.
- Enter and process live orders from the phone and email into the appropriate systems, guiding the customer through the order process and ensuring accuracy.
- Collaborate with plant managers to ensure processes align with the customer’s projected completion dates.
- Verify all costs (labor, supplies, shipping, etc.) are entered accurately upon job completion.
- Manages key assigned accounts and related projects, ensuring customer satisfaction and efficient service delivery.
- Oversee all customer service activities, including order entry, job planning, order acknowledgment, job check-ins, specification confirmation, job tracking, problem-solving, and issue resolution.
- Prepares job change orders as necessary, including edits to processes, additional make-readies, and adjustments during production.
- Communicate with customers regarding any changes and coordinates press checks when needed.
- Identifies and implements improvements to streamline workflows between customer service and production teams.
- Provide administrative support as needed.

Qualifications
- Project Management experience preferred
- Print industry experience a plus
- Experience with Microsoft Office, Google Sheets, Google Docs, Adobe Acrobat, etc.)
- Experience: Minimum 5 year experience as a Customer Service Representative or Specialist is preferred.
